We are a locally owned and operated executive office provider with over four decades in Vancouver. We offer full-service, traditional shared office solutions—including private offices, virtual offices, and administrative support.

This is not coworking. Our office is focused on professionalism, responsiveness, long-term client relationships, and providing a stable, dependable business environment for our clients.

The Role
This is a hands-on, multi-functional role at the center of the business.

You will be responsible for driving sales, managing client relationships, overseeing daily operations, and supporting marketing functions.

This role requires someone highly organized, responsive, and comfortable managing multiple priorities in a fast-paced, interruption-driven environment.

You will play a key role in maintaining not just operations, but also the culture, morale, and overall tone of the office environment.

Key Responsibilities:
Client Experience & Office Operations (35%):
  • Act as primary point of contact for clients and day-to-day office operations.
  • Build and maintain strong, long-term client relationships.
  • Coordinate client onboarding, renewals, transitions, and administrative requests.
  • Ensure smooth day-to-day operations and consistent service delivery.
  • Manage a high volume of daily interactions with professionalism and responsiveness.
  • Act as liaison between tenants, building management, and the reception team.
  • Identify opportunities to improve operational flow, efficiency, and client experience.
  • Coordinate office logistics, supplies, and general operational needs.
Sales & Business Development (25%):
  • Respond promptly to all inbound enquiries (email, phone, in person).
  • Conduct professional, detailed office tours and provide quotes.
  • Convert leads into clients through strong follow-up and communication.
  • Maintain consistent pipeline activity to support occupancy goals.
  • Manage logistics and communication with referral partners and agents.
  • Contribute ideas and initiatives to drive occupancy and growth.
Team Leadership & People Operations (15%):
  • Lead recruitment activities including screening, interviewing, and candidate coordination.
  • Oversee onboarding and training of new team members.
  • Provide ongoing coaching, guidance, and operational support to the front desk / client experience team.
  • Help maintain a professional, accountable, and collaborative team environment.
  • Support performance expectations, consistency, and service standards across the team.
  • Contribute to process documentation, procedures, and internal operational improvements.
Marketing (15%):
  • Lead and execute marketing initiatives to support business growth.
  • Contribute ideas for campaigns, content, and positioning.
  • Maintain consistent visibility with target audiences.
  • Lead or participate in marketing strategy discussions and meetings.
Accounts Receivable Support (10%):
  • Monitor and follow up on outstanding accounts.
  • Support billing processes, including reviewing billings for accuracy prior to month-end.
  • Assist with payment processing via Stripe.
  • Maintain A/R under 45 days through client payment follow-up and solution coordination.

Additional Details:
  • Full-time, in-person role based in Vancouver.
  • Experience in supervisory or office management, operations, sales, or client-facing environments required.
  • Experience in executive offices, commercial real estate, or service-based business is an asset.
